Not every step in a Flow needs to create something new, sometimes your team just needs to find a record that already exists. Use the Salesforce: Search Records steptype to let your team search for and select an existing Salesforce record, then reference its fields in every step that follows.

Step Configuration

In addition to the general step configuration options, this step has the following specific options that can be configured.

Automatically continue if only a single record is found

Check this box to skip record selection whenever a search returns exactly one match. FlowEQ will select that record automatically and move on to the next step in the Flow.

Object Name

Select the type of Salesforce object you want to search. Select which fields on the chosen object your team’s search text should be matched against. When an agent types something into the search box, FlowEQ looks for a partial match in any of the fields selected here — a match on any one field is enough to return a record.
Only text-based fields that Salesforce allows filtering on (such as Email, Phone, Picklist, and Text fields) are available to select here.
If you set a Default Search value below, you must select at least one field here, or the search will have nothing to match against.

Fields to Display

Select which fields you want your team to see on each result card in Sidekick when choosing between matching records.

Shown on the card, in this order

This list mirrors the fields you selected under Fields to Display, plus the record’s ID. Use the arrows to change the order the fields appear in on each result card in Sidekick. Every field on the selected record, not only the ones shown here, is available as a variable in later steps. Use the copy icon next to any field in this list to grab that field’s variable, ready to paste elsewhere in your Flow. Prefills the search box in Sidekick with a starting value, which your team can edit before running the search. Use the button to pull in values from Salesforce or other systems integrated with FlowEQ, or use Add New Field to prompt your team for a value before the search runs.

Hide the search field in Sidekick

Check this box to skip showing the search box to your team entirely. Instead, the step searches automatically using the Default Search value as soon as it opens.
This setting is ignored if Default Search uses Add New Field, since your team still needs to supply those values before the step can search.

Additional SOQL Filter (optional)

Enter a SOQL WHERE clause, without the WHERE keyword (for example, IsActive = true), to further narrow the search beyond what your team types in. This filter is combined with the search text using AND, and is never shown to your team in Sidekick.

Running the Step

When an agent runs this step, unless Hide the search field in Sidekick is enabled, they’ll see a search box. It will be prefilled with the Default Search value, if any. After searching, matching records appear as cards showing the fields selected under Fields to Display.
Only the first 50 matching records are returned. If your team doesn’t see the record they’re looking for, encourage them to narrow their search.
If two or more records look identical based on the fields shown on their cards, FlowEQ highlights each one’s Record ID so your team can tell them apart. Clicking a card selects that record and shows a confirmation screen; clicking it again returns to the list of results. Each card also has an info icon to view every field on that record, and a link to view the record directly in Salesforce. If no records are found, your team will see a message letting them know. If Automatically continue if only a single record is found is enabled, your team skips the selection screen entirely whenever there’s exactly one match.

Salesforce Variables

After a record is selected, FlowEQ populates the following variables, which can be used in later steps in your Flow:
  • <%= salesforce_lastSelectedRecordId %> — the Salesforce ID of the selected record
  • <%= salesforce_lastSelectedRecordType %> — the Salesforce object type of the selected record
  • <%= salesforce.LastSelected.<Field Name> %> — every field on the selected record, not just the ones shown on the result card, simply replace <Field Name> with the API name of the field you want to reference
